Volunteers play a vital role in helping Runners Media CIC deliver impactful media and community engagement projects. This policy outlines our commitment to recruiting volunteers in a fair, inclusive, transparent, and supportive way.

We aim to ensure that volunteers are welcomed, valued, and matched to roles that suit their interests, skills, and availability—while also meeting the needs of our organisation and the communities we serve.

3. Scope

This policy applies to all individuals who wish to volunteer with Runners Media CIC, including those involved in media production, community outreach, event support, administration, and digital engagement.

7. Reimbursement of Expenses

Volunteers will be reimbursed for reasonable out-of-pocket expenses such as:

  • Local travel (bus/train fares)
  • Meals during extended shifts (subject to prior agreement)

All claims must be submitted with receipts and approved by the project lead.

8. Confidentiality and Data Protection

Volunteers must agree to maintain confidentiality regarding sensitive information and comply with Runners Media CIC’s Data Protection Policy and Confidentiality Agreement (to be signed on induction).

9. Ending the Volunteer Role

Volunteers may choose to leave their role at any time. Where possible, we request that they inform us in advance. Runners Media CIC also reserves the right to end a volunteer placement if:

  • The role is no longer required
  • The volunteer breaches safeguarding, confidentiality, or conduct expectations
  • The volunteer’s availability or performance is not aligned with the needs of the role

An exit discussion and reference can be provided upon request.

10. Review

This policy will be reviewed every two years or earlier if significant changes in legislation or volunteering practice occur.
